User lifecycle rules

These rules define how TechPass accounts are automatically managed based on activity and system conditions.

They apply to all TechPass accounts across both the TechPass Account Portal and the TechPass Portal.

Overview

TechPass accounts are automatically:

  • Reminded when inactive
  • Disabled after prolonged inactivity
  • Terminated and deleted if inactivity continues

New or newly invited users

If a user has not signed in since account creation or invitation:

  • After 23 days of inactivity
    → Daily reminders are sent

  • By day 30
    → Account is terminated
    → Reminders stop

  • 5 days after termination
    → Account is permanently deleted

Existing users

If a user has signed in before, the following rules apply:

1. Inactive for 60 days

  • Daily reminders are sent
  • Warning that the account will be disabled

2. By day 90

  • Account is disabled
  • Reminders stop

3. Inactive for 173 days

  • Daily reminders are sent
  • Warning that the account will be terminated

4. By day 180

  • Account is terminated

When these rules do NOT apply

The lifecycle rules are skipped if:

  • Product-type accounts
    (for testing or training)

  • Recent account changes
(status updated within the last 5 days)

  • Accounts under investigation
    (by a TechPass admin)

Manual lifecycle actions

In some cases, lifecycle actions are triggered manually.

Public officers

  • Managed via Azure Entra ID
  • Triggered by events from CAM

Vendors

Other account actions

Accounts may also be disabled or blocked due to:

  • Security reasons
    (e.g., risky sign-ins)

  • Organisation changes
    (e.g., user leaves the organisation)
