How it Works?
GovSupply serves as an end-to-end platform that helps administrators run campaigns, track distributions, manage assets, and maintain full inventory accountability in four main phases:
Phase 1: Campaign Setup
- Create a new campaign at the admin portal
- Set up items that will be distributed in the campaign
- Set up distribution points for the campaign to distribute via GovSupply’s distribution app
- Alternatively, generate an API key to integrate with relevant external systems such as vending machines or point of sale to facilitate the distribution. Refer to GovSupply’s API Spec for more information on how to integrate with existing systems to meet the distribution needs
- Set up recipients for the campaign and disburse the relevant item category and quantity at the admin portal
- Check for readiness status of distribution campaign on the Campaign Dashboard
Phase 2: Distribution
- Login to the GovSupply’s distribution app to facilitate the distribution
- Identify recipient’s eligibility by entering recipient’s unique identification information
- Select item and its quantity to distribute to eligible recipients
- Items successfully distributed will be recorded in the distribution app
Phase 3: Reconciliation
- Review all transactions successfully executed within the campaign directly from the admin portal
- Filter by date range to pinpoint specific distribution activity
- Download transaction reports to reconcile distributed quantities against initial campaign targets
- Use transaction data to verify that all intended recipients have been served
Phase 4: Stocktaking & Asset Accountability
- Initiate a stocktake from the admin portal to verify physical asset counts against system records
- Send notification reminders to recipients to complete the stocktake via the stocktaking app
- Track progress and record stocktaking results through the stocktake dashboard in the admin portal
- Review discrepancies between expected and actual asset quantities, or flag item ID mismatches
- Download stocktaking reports for audit and accountability purposes
