Continuous Operation Improvements

Author: Naveen Kumar

Continuous operation improvements are crucial for maintaining and enhancing system performance, reliability, and efficiency. Regular reviews of monitoring metrics, tools, and scalability ensure that the system remains aligned with evolving business needs and can handle growth. Post-incident reviews and feedback loops help identify root causes of issues and implement preventive measures. Continuous performance optimization, including bottleneck identification and resource utilization analysis, helps maintain optimal system performance. Cloud cost optimization strategies, such as scaling down seasonal applications and right-sizing resources, ensure efficient use of cloud resources. Regular cloud configuration reviews and error tracking help maintain security and stability. Monitoring data and traffic growth rates is essential for capacity planning and preventing performance degradation. These practices collectively contribute to a proactive approach in managing and improving system operations, ultimately leading to better service delivery and cost-effectiveness.

Continuous Improvements through Post Incident Reviews and Feedback Loops

  1. Post Incident Reviews (PIR) Conduct thorough post-incident reviews after each significant monitoring failure or service disruption.

Analyse the root cause of the incident. Use a “Five Whys” approach to arrive at the actual root causes.

Document lessons learned and create actionable recommendations for improving practices. Track the completion of the recommendations.

  1. Feedback Loop Establish a feedback loop with development teams to enhance monitoring based on application changes and new requirements.

In the change management process, include updating of monitoring configurations as part of any significant application update.

Regularly review application logs and performance metrics.

Continuous Performance Optimization

  1. Bottleneck Identification Use monitoring data to identify and resolve performance bottlenecks.

Identify APIs and URLs with the highest response times and conduct root cause analysis to determine whether they are due to code inefficiencies, infrastructure limitations or external dependencies.

Work with the outsourced vendor to develop and implement targeted improvements for each identified bottlenecks. Verify the effectiveness of the implemented improvements.

  1. Resource Utilisation Monitor and optimize the usage of resources such as CPU, memory, and disk I/O.

Establish baseline metrics for normal resource utilization patterns and track deviations from these baselines.

Regularly review resource utilization reports to identify trends, patterns, and potential areas of concern.

Conduct periodic audits of resource allocation to identify and eliminate underutilized or over-provisioned resources.

Most importantly, check and look out for resources running out of capacity. This includes filesystems and mountpoints running out of space, database tablespace reaching the limit. Look out for database products that has maximum row or column limits. e.g. SAP HANA has a limit per table/partitiion of 2 billion rows.

  1. Capacity Planning Collect and analyse historical performance data to identify long-term trends in resource utilization and system load.

Develop and maintain a capacity planning roadmap that outlines short-term and long-term strategies for meeting increasing demand.

Capacity planning is especially important for on-premises resources as long lead time is required for bringing in additional capacity.

Track Errors and Exception Tracking

  1. Identify and resolve top errors Identify the errors and exceptions that are occurring the most number of times. For example:
  • From web access logs, identify the APIs that has the most HTTP 5XX responses

  • From application logs, identify the exceptions that occur the most number of times

Based on the criticality of the functions and the number of errors, prioritise the remediation plan.

Assign out the errors to be fixed to the developers. Track the status of the completion. Ensure that the fixes are reviewed and tested and check that it is effective in stopping similar errors and exceptions from occurring again.
